Terms of service
Who we are
China Your Way Trips is a trading name of [Company name], a company registered in [city], Hebei, China (registration no. [xxxx]). You can reach us at hello@chinayourwaytrips.com.
What we sell
We sell trip-planning and consulting services — the Trip Check, Planning Call and Custom Itinerary — and on-trip help by chat, the On-Trip Pass. These are information and advice services. We don’t sell or operate travel services ourselves.
Bookings and tours
Hotel, train and ticket bookings, private guides, drivers and tours in our Done-for-You and small-group products are contracted and operated by our licensed partner travel agency, [Licensed partner name], license no. [xxxx]. When you book these, your contract for the travel services is with our partner, under its booking conditions, which you’ll receive before you pay.
With a Custom Itinerary, you make your own bookings using our links, so your contracts are with the hotels, rail operator, ticket sellers and booking sites you use.
Your part
- Give us accurate information: dates, travelers, passports, and anything about health, mobility or diet that affects the plan.
- Check entry requirements with official sources. We point you to them, but we don’t give legal or immigration advice.
- Buy travel insurance that covers your trip.
- Check your bookings against your plan, and tell us quickly if something doesn’t match.
Our part
- Deliver on the times we publish: Trip Checks within 48 hours, Custom Itineraries within 5 business days of the kickoff call, and On-Trip Pass replies within 30 minutes, 08:00–22:00 Beijing time (UTC+8).
- Recommend in good faith, based on current information. Prices, opening hours, ticket rules and apps in China change, and we can’t guarantee services run by others.
Prices and payment
Prices are in US dollars, per trip; Custom Itinerary prices cover up to 4 travelers. You pay by card or PayPal, and while you’re in China you can extend an On-Trip Pass with Alipay or WeChat Pay. Trip Check and Planning Call fees are credited in full toward a Custom Itinerary if you upgrade within 14 days.
The On-Trip Pass
Your pass starts with your first message and runs for the number of consecutive days you bought. One chat covers your party of up to 4 people. After 22:00 Beijing time we give urgent guidance on a best-effort basis.
The On-Trip Pass is not an emergency service. In an emergency in China, call 110 (police), 120 (ambulance) or 119 (fire).
Liability

Changes
We may update these terms. The version published when you paid applies to that purchase.
Refunds
If your first itinerary draft isn’t right, we’ll redo it. Still not happy? Full refund.
- Trip Check
- Full refund if we haven’t started work. If you’re unhappy with the review, ask within 7 days of delivery for a full refund.
- Planning Call
- Reschedule free up to 24 hours before the call. If we cancel, you get a full refund. [Set your policy for later changes and no-shows.]
- Custom Itinerary
- Full refund before the kickoff call. 50% refund after the kickoff call, until we deliver the first draft. After the first draft, the guarantee applies: we redo it, and if you’re still not happy, you get a full refund.
- On-Trip Pass
- Full refund if it was never activated. Once activated, it’s refundable pro rata, for the unused days, only if we miss our response-time promise.
- Plan & Go bundle
- [The itinerary part follows the Custom Itinerary rules and the pass part follows the On-Trip Pass rules — confirm before launch.]
- Done-for-You
- The $199 design deposit is credited to your booking. Once you book, our licensed partner’s booking conditions apply to changes, cancellations and refunds. [Set your policy for the deposit if a traveler decides not to book.]
- Small-group waitlist
- Joining the waitlist is free; no payment is taken.
How to ask for a refund
Email hello@chinayourwaytrips.com with your name and what you bought. We reply within 1 business day and refund to your original payment method [within x business days].
Privacy
What we collect
- What you send us: your name, email, WhatsApp number (optional), trip dates, who’s travelling (including children’s ages), passport country, interests, and anything you tell us about health, mobility or diet.
- Messages you send us during an On-Trip Pass.
- Payment confirmations. Card and PayPal payments are handled by the payment provider; we never see or store full card numbers.
Passport details
We ask for passport details only when they’re needed for a booking, and we pass them only to our licensed partner, [Licensed partner name], for that booking. You don’t need to send passport details for a Trip Check, a Planning Call or a Custom Itinerary.
How we use it
To plan and support your trip, reply to you, take payment and, if you ask for it, send the China-Ready Checklist and the occasional planning tip. You can unsubscribe at any time.
Who we share it with
- Our form provider [e.g. Formspree] and payment providers [e.g. PayPal], so we can receive your details and payments.
- WhatsApp or WeChat, when you choose to message us there.
- Our licensed partner, only for bookings you ask us to arrange.
We don’t sell your data.
Cookies and fonts
This site doesn’t use tracking cookies. Its fonts load from Google Fonts, which receives your IP address when a page loads. [If you add analytics, update this section.]
How long we keep it
[Trip details: kept for x months after your trip, then deleted. Passport details: deleted x days after the booking is complete, unless the law requires longer.]
Your rights and how to contact us
Ask for a copy of your data, or for it to be corrected or deleted, by emailing hello@chinayourwaytrips.com. [Add the legal basis and rights that apply to your travelers — for example GDPR for visitors from the EU and UK — with your lawyer.]
Affiliate links
We don’t take commissions from shops, restaurants or tour sellers, and our plans have no shopping stops.
Some links we share — for example to eSIM providers, hotel booking sites or travel insurance — may be affiliate links, which pay us a small fee if you buy. Where we use one, we label it “(affiliate link)”. It doesn’t change the price you pay, and we only recommend what we would recommend anyway.
